PURPOSE AND SCOPE OF JOB
We’re looking for a dependable and detail-oriented CORPORATE ADMINISTRATIVE ASSISTANT to support important company processes. In this role, you’ll help manage company records, prepare documents, assist with official filings, and coordinate meetings and communications with both internal teams and outside contacts. This position is ideal for persons who are organized, work well with deadlines, and can handle sensitive information with care and professionalism.DUTIES AND RESPONSIBILITIES
- Assist with the preparation and filing of statutory documents with corporate registries and regulatory
authorities (e.g., annual returns, company incorporations, resolutions). - Maintain and update corporate records, registers, and minute books.
- Help coordinate board and shareholder meetings, including the preparation and distribution of agendas,
meeting packs, and minutes. - Track filing deadlines and support compliance with local company laws and regulations.
- Assist in the drafting of routine correspondence, reports, and corporate documentation.
- Liaise with government agencies, external legal/corporate service providers, and clients as required.
- Support the Corporate Administrator with Know Your Customer (KYC) due diligence, document collection, and
compliance checks. - Maintain a centralized filing system (physical and electronic) for confidential corporate documents.
- Provide general administrative support including scheduling, data entry, and document management.
EDUCATIONAL REQUIREMENTS AND EXPERIENCE
- Associate Degree or Diploma in Business Administration, Law, or related field (a Certificate in Corporate
Governance or Company Law is an asset). - Prior experience in corporate services, legal, or administrative support preferred.
- Knowledge of corporate compliance and regulatory filings.
- Proficiency in Microsoft Office Suite and document management systems.
- Excellent organizational and time management skills.
- Strong attention to detail and ability to handle confidential information with discretion.
- Good communication and interpersonal skills.
